CRM Activities

Activity types

There are five distinct activity types available in the CRM, each designed to capture a different kind of interaction. Categorizing your activities ensures your team can accurately track everything from quick phone calls and follow-up emails to scheduled meetings, tasks, and contextual notes.

Email

Log an email activity when sending or receiving important correspondence. Focus on messages that move a deal forward, contain key information, or represent a milestone—like "Sent proposal for annual plan" or "Received signed agreement."

Call

Use this activity type for phone calls and video chats that fall outside of formal meetings. Log a clear subject and use the description to capture key takeaways. For example, a subject like 'Intro call — interested in enterprise tier' helps your team quickly understand the outcome of the conversation.

Meeting

Use the meeting activity type to record scheduled, formal interactions such as product demos, quarterly reviews, or strategy discussions. Meetings support a specific date and time, ensuring your team always knows when an event is happening and can effectively track upcoming deadlines. For example, you might log a meeting for a 'Product demo for the marketing team.'

Task

Use tasks for action items and to-dos that need to get done. Because tasks support a due date and time, they are perfect for tracking follow-ups and deadlines so your team knows exactly when something needs to happen. For example, you might create a task to 'Send updated contract by Friday' or 'Prepare case study for next call.'

Note

Use this option for general observations, context, or any interaction that doesn't fit the standard categories. It's the perfect place to record critical information the rest of your team needs to know—for example, logging a quick note that the prospect's CFO mentioned a budget freeze until Q2.

Tasks and meetings support due dates, giving your team a clear timeline for what needs to happen and when. Setting a specific date and time ensures outstanding items don't slip through the cracks and serves as a reliable reminder for your next steps. This is the foundation for tracking deadlines and managing your follow-up workflow effectively.

Frequently Asked Questions

Log the outcome as 'Rescheduled' on the original activity, then create a new activity for the new date.

You can always edit the activity later to link it to the correct company.

A task is an actionable item that supports a due date for tracking follow-ups and deadlines. A note is used for general observations and context that doesn't require an outcome or deadline.
